Privacy Notice
This notice explains how The Supply Guy Network (“we,” “us”) collects, uses, shares, and protects information when you use our website, ordering assistant, workspaces, and Invoice Intelligence tools (together, the “Service”). The Service is built for business purchasing; it is not directed to consumers for personal, family, or household use.
Information we collect
- Information you give us: name, business name, email, phone, shipping and billing addresses, order details, messages you type into the ordering assistant, and files you upload (such as invoices, price lists, photos, or business cards).
- Account and workspace information: sign-in email, role, company and location details, team members you invite, and the permissions you choose.
- Connected accounts: if you or your sales representative connect an email account, we access only what is needed to find and organize customer requests, as described when you connect it.
- Automatic information: device and browser details, IP address, pages viewed, and security and processing logs.
- Information from others: your sales representative or distributor, publicly available business information, and published supplier catalogs and prices.
How we use information
- To find and compare products and prices, build your order, and send it to the team that fulfills it.
- To confirm orders, shipping, and pricing, and to provide customer support.
- To create and operate workspaces and the Invoice Intelligence reports you request.
- To secure the Service, prevent fraud and abuse, and meet legal obligations.
- To improve the Service. Optional uses — model improvement, de-identified network intelligence, and sales contact — are off by default and used only with your separate permission.
Automated assistance
The ordering assistant and Invoice Intelligence use automated and AI-assisted tools, including third-party AI model providers, to read your requests and files and suggest products. Results can be incomplete or wrong and are reviewed by people before an order is fulfilled. We do not use these tools to make decisions that produce legal or similarly significant effects about you.
How we share information
- Fulfillment: with the participating distributor and sales representative who fulfill your order or serve your account.
- Service providers: companies that host, store, and secure data, deliver email and text messages, provide AI processing, check public market prices, and support maps and address lookup. They may use information only to provide services to us.
- Legal and safety: when required by law, or to protect the rights, property, or safety of our users, the public, or us.
- Business transfers: as part of a merger, acquisition, financing, or sale of assets, subject to this notice.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We never share your customer-specific pricing, relationships, or order history with other customers or with suppliers who are not part of your order.
Cookies and similar technologies
We use cookies and browser storage that are necessary to run the Service — for example, to keep you signed in, hold your cart and conversation, and protect against misuse. We do not use advertising cookies. You can block cookies in your browser, but parts of the Service may stop working.
Email and text messages
We send transactional messages such as sign-in codes, order confirmations, and report notifications. Marketing messages are sent only where permitted, and you can opt out at any time using the unsubscribe link or by replying STOP to a text message. Message and data rates may apply.
How long we keep information
- Unconfirmed Invoice Intelligence requests expire after one hour without upload or model processing. Temporary source files are deleted after report generation unless you permit retention; report results and access links expire after seven days.
- Workspace source documents are kept up to 400 days. Structured invoice history remains until the invoice or account is deleted.
- Order, account, and business records are kept as long as needed to provide the Service and meet tax, accounting, and legal requirements.
Security
We use role-based access, private storage, encryption in transit, expiring links, and audited administrative access. No system is perfectly secure, so please protect your email account and tell us promptly if you suspect unauthorized access.
Your choices and rights
You can review and update your account and company details in your workspace, withdraw optional permissions at any time, and unsubscribe from marketing messages. Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, and to appeal our decision on your request. Email hello@thesupplyguy.network to make a request; we will verify your identity before acting on it and will not discriminate against you for exercising your rights.
Children
The Service is intended for business users and is not directed to children under 16. We do not knowingly collect information from children.
Changes to this notice
We may update this notice. The version and effective date at the top show when it last changed; for material changes, we will provide additional notice through the Service or by email.
